2 to 8 weeks depending on your tier. Solo & Small launches in 2 weeks with 1 pipeline and 3 workflows. Multi-Provider takes 3 to 4 weeks and includes one EHR integration. Multi-Location takes 5 to 8 weeks with 2 to 3 EHR integrations. You do not need to stop operating during setup.

Is RovingCRM HIPAA-aligned?
Yes, we implement the Administrative, Physical, and Technical Safeguards of the HIPAA Security Rule under a signed BAA. You get AES-256 encryption at rest and in transit, MFA, role-based access, and audit logging for every PHI access event. We do not use the phrase "HIPAA certified" because no such certification exists in US law.
Can I talk to a real customer before I buy?
Yes. On the discovery call, we'll connect you with 1 or 2 current RovingCRM customers in your specialty. You talk to them directly. No canned testimonials, no scripted calls.
What happens if I cancel?
Month-to-month plans cancel with 30 days notice. Annual plans cancel at renewal. On termination, we return all your patient data in CSV exports and permanently destroy the originals within 30 days per HIPAA §164.504(e)(2)(ii)(J). No hostage fees.
Isn't RovingCRM just GoHighLevel with a HIPAA sticker?

Every tier includes staff training (1 hour on Solo, 4 hours on Multi-Provider, full onboarding on Multi-Location). Our onboarding lead sits in your practice (virtually) during go-live week. Multi-Provider and Multi-Location also include monthly check-ins and a named CSM.
Can I use RovingCRM for SMS marketing without violating TCPA?
Yes, with the consent capture workflows we set up during implementation. RovingCRM enforces opt-in logging, quiet hours, STOP-word handling, and frequency caps per TCPA and the HIPAA Marketing Rule. We provide consent language templates your compliance officer can approve.
How is RovingCRM different from Weave, Podium, and NexHealth?
Weave is a phone system with light messaging. Podium is a reputation tool with basic messaging. NexHealth is scheduling and patient communications. Most don't ship with a full CRM: pipelines, branched workflows, and marketing automation usually live in a separate tool. RovingCRM replaces all three, your CRM, and your marketing stack, with HIPAA alignment on day one.
What if my practice has multiple locations?
Multi-Location supports unlimited locations with location-specific pipelines, reporting, and user permissions. Multi-location DSOs and groups with 5+ sites are actively in our ICP.
